Documentation required for ALL Tenants & Guarantors

  • Photographic identification – a valid passport or driving license
  • (Alternatively we will accept a passport photo which has been signed & verified by a doctor, solicitor, policeman, post master or a bank manager)
  • Proof of address – utility bill from the last 3 month’s
  • Proof of National Insurance Number – National Insurance card, pay slip, P60 or a benefits letter
  • Proof of mortgage (If current or previous homeowner)

If working:

  • Proof of employment and income (Full time workers and Guarantors)
  • Last THREE consecutive month’s-worth of pay slips or bank statements (Most recent)
  • Proof of full time contract of employment (NGU Homelettings will contact your employer directly)
  • (Temporary contracts, zero hour contracts or probationary periods are not considered as full time employment)
  • KEY NOTE – in the even that an applicant or guarantor is self-employed we will accept an accountants letter as proof of employment and income

If unemployed:

  • Proof of benefits and income (Unemployed)
  • Proof of ALL benefits – tax credits, child benefit, income support, jobseekers allowance & DLA (A benefits breakdown letter showing all benefits you are in receipt of from the last 12 months & your most recent bank statement (1 months-worth) to correlate amounts for each benefits entering your bank)
  • Proof of any part time work (Your most recent weekly or monthly pay slip)
  • Originals must be produced and photocopies must be provided. We will collect these from you by visiting you in your current property

INFORMED CONSENT FORM & AUTHORITY TO MAKE ENQUIRIES – (NGU INTERNAL OFFICE USE ONLY)

I/we understand that NGU Homelettings and/or their associates at various local and regional council housing departments will need to carry out enquiries concerning my and any other person living in the household’s character, conduct of any previous tenancies or occupation of any property in the past. I/we give my permission for NGU Homelettings and their associates to obtain any relevant information about me and any other person living in my household from all the relevant agencies. I understand that the relevant agencies may include, but are not limited to, any Police Force, previous landlords, Probation Service, Social Services and Education Departments of Local Authorities. I understand that this information will be used for the sole purpose of assessing my housing application and will be held in the strictest confidence.

I/we have approached .............................................................................. Council for assistance. I/we accept that in order for the Council to assist it may be necessary to verify or obtain information from, or otherwise make enquiries regarding my/our application with, any Police Force, Social Services Department, Local Authority, Probation Service, Landlord, Doctor, Mortgage Company or other person who may have relevant information about myself/ourselves or any member of my/our household. I/we also agree the Council may cross check the information I/we have given with other sections of the Council such as Housing Benefits and Council Tax, as well as other Authorities and Benefit Agencies. The Council is providing a service to landlords and tenants to supervise the creation of tenancies and to provide assistance to both parties. The Service will hold a copy of the tenancy contract, inventory and other related documents as its record and files of activity. Staff will attempt to resolve any problems that may occur during the existence of the tenancy. The file remains the property of the Council and will be held and stored in accordance with the guidance of the Data Protection Act 1998. I/we hereby give my/our authority to you, as a body or person contacted by the Council for these purposes, to provide them with the information they require in order to complete their enquiries. Important Information for tenants and guarantors

Once we (NGU) have completed our vetting/checks, providing that the application is approved we will offer you the opportunity to pay a holding fee to take the property off the market. Before the holding fee is taken the following declaration will be read out over the phone to you: “NGU Homelettings are obliged to make you aware that the holding fee which you are about to pay is a non-refundable deposit. The holding fee will secure the property for you on the basis that you are able to provide NGU Homelettings with all the relevant documentation which they require. This includes proof of identification, income/benefits, national insurance number and current address for yourself and your guarantor, if a guarantor has been requested. NGU Homelettings will require you to provide photocopies of all relevant documentation and originals have to be produced and verified by a staff member of NGU at a home visit in your current property. Failure to provide proof of such documentation would result in your holding fee being revoked and retained by NGU Homelettings. If documentation fails to verify information that has been provided to NGU Homelettings during the credit/vetting procedure the holding fee would again be revoked and retained by NGU Homelettings. In the case of such an event NGU Homelettings would not be able to take you as a tenant and would be forced to re-market the property in question.”
